Your journey with us

The Facility Coordinator of our HQ works closely with the Facility manager and supports with the daily operations for Hard & Soft services. You will be responsible for the coordination of the services and  physical infrastructure of the offices. This includes overseeing building maintenance and repairs, coordinating office moves and small modifications projects and support services such as security, mailroom, cleaning and catering. 

Key Responsibilities:
  • Follow up on service contractors and ensure operational compliance by our contractors; circle back to the Facility Manager on contractor performance;
  • Manages and follow up on maintenance planning of hard- & soft service suppliers and takes responsibility as operational SPOC for the suppliers.
  • Provide operational support in executing 360° integrated facility management processes;
  • Support, follow up & reporting to the Facility Manager on the day to day ticketing system.
  • Support the Facility Manager with documenting key operational procedures;
  • Keep relevant databases up to date in order to support the facility decision making;
  • Coordinate and organize the different activities related to the implementation of building, renovation and maintenance projects (in assigned buildings) and soft services in close cooperation with other team members;
  • Document all technical specifications related to building, renovation, refurbishments and maintenance projects.
  • Ensure compliance with health and safety regulations and other legal requirements
  • Support others by acting as an example within your job and supporting them as a mentor to coordinate & plan the workload of your team (Facility officers ,hospitality officers, cleaning crew, & handyman)
Let's talk about you
  • Bachelor's degree in facilities management, business administration, or a related field
  • you have around 3-5 years of experience in facility management or a related field
  • Strong organizational and project management skills
  • Excellent communication and interpersonal skills
  • Knowledge of health and safety regulations and other legal requirements related to facility management
  • Experience managing vendor relationships and contracts
  • Familiarity with building management systems (BMS) or workplace management platforms is preferred
  • Proficiency in Microsoft Office and facility management software
  • Ability to work independently and as part of a team
  • Strong problem-solving and decision-making skills
  • Fluency in English and Dutch required both written and spoken (French is an asset)
