The IT Business Analyst acts as the bridge between business stakeholders and IT delivery teams, translating business needs into clear requirements and well-designed solutions. Operating within the IT Department, the role contributes to the end-to-end delivery of IT services - from demand intake through requirements, design, testing, and transition into operations - ensuring that technology investments deliver measurable business value, are fit for purpose, and are supported by quality documentation and a smooth handover to service operations. The role combines strong analytical thinking, skilled stakeholder elicitation, and hands-on command of core business analysis methodologies and modelling frameworks.

Key Responsibilities
1. Analytical Thinking & Problem Structuring
  • Structure ambiguous or poorly defined business problems into clear problem statements, using techniques such as root-cause analysis (5 Whys, fishbone/Ishikawa) to distinguish symptoms from underlying causes.
  • Perform impact, feasibility, and cost-benefit analysis for proposed changes, making explicit assumptions where data is incomplete.
  • Adjudicate conflicting requirements between stakeholders using prioritisation frameworks (e.g. MoSCoW) and traceability back to the business objective.
  • Manage scope discipline by maintaining a requirements baseline and escalating scope creep rather than absorbing it silently.
2. Stakeholder Elicitation & Influence
  • Elicit, document, and validate business requirements through workshops, structured interviews, shadowing/observation, and prototyping/mock-ups.
  • Act as the primary liaison between business units and IT during project initiation, design, and delivery, managing expectations against IT roadmap and capacity.
  • Facilitate requirements workshops and design reviews, using pre-work, structured agendas, and parking-lot techniques to keep senior stakeholders engaged within limited time.
  • Validate documented requirements through stakeholder walkthroughs and sign-off, using visual models as a shared reference point to confirm understanding across language and cultural differences.
3. Methodology, Modelling & Documentation
  • Produce as-is and to-be process maps using BPMN (pools, lanes, gateways, events) at an audience-appropriate level of detail, to identify gaps, inefficiencies, and automation opportunities.
  • Use Data Flow Diagrams (DFDs) and data mapping techniques to analyse system integrations and clarify how data moves, is stored, and is transformed between systems (e.g. CRM/ERP).
  • Translate business requirements into functional specifications, user stories (INVEST-aligned), and acceptance criteria (e.g. Given/When/Then) for IT delivery teams.
  • Maintain end-to-end requirements traceability from business need through to test cases and UAT sign-off, using a requirements traceability matrix or equivalent.
  • Apply the right technique for the context - flexing between Agile artefacts (backlogs, epics, story maps) and traditional BRD/FRD-style documentation depending on project type and stakeholder maturity.
  • Contribute to project documentation in line with the IT SSDLC, including business cases, requirement specifications, and test plans.
4. Delivery Support & Continuous Improvement
  • Support project managers and product owners with scoping, prioritisation, and backlog management.
  • Coordinate User Acceptance Testing (UAT), log defects, and track resolution to closure.
  • Support change management activities, including communication plans and training materials.
  • Ensure deliverables align with IT governance, compliance (GDPR, NIS2), and data quality standards.
  • Identify and progress opportunities for process optimisation and automation (Power Platform).

Required Skills, Experience & Qualifications
Essential
  • 3–5+ years' experience as a Business Analyst in an IT or digital transformation environment.
  • Strong analytical and problem-solving skills, with the ability to structure ambiguous business problems using root-cause techniques (5 Whys, fishbone) and prioritisation frameworks (MoSCoW).
  • Hands-on experience with process modelling using BPMN, and familiarity with Data Flow Diagrams (DFDs) for systems/integration analysis.
  • Proven experience writing functional specifications, user stories (INVEST), acceptance criteria, and maintaining requirements traceability.
  • Skilled in stakeholder elicitation techniques - workshops, structured interviews, shadowing, and prototyping/mock-ups.
  • Familiarity with Agile/Scrum and Waterfall/BRD-FRD delivery methodologies, and the judgement to flex between them.
  • Working knowledge of Microsoft 365, SharePoint, Power Platform (Power Apps, Power Automate), and Azure DevOps.
  • Excellent stakeholder management, facilitation, and communication skills (English required; French/Dutch an asset).
  • Strong attention to detail and ability to manage multiple priorities under deadlines.
  • Bachelor's degree in Business, Information Systems, Computer Science, or related field.
Desirable
  • Experience with additional BA frameworks - use case diagrams, entity-relationship diagrams, RACI, SWOT.
  • Experience with modelling/documentation tools such as Visio, Nintex Promap, or equivalent.
  • Experience with ServiceNow or similar ITSM/PPM tooling.
  • Business Analysis certification (e.g. BCS, IIBA/CBAP, BABOK).
  • Agile certification (e.g. CSPO, PSPO).
